This page explains how to create the incoming call rule that allows the selected group to receive incoming calls during business hours. You can also set the rule so that a voicemail or an announcement will be played when all members of the selected group are unable to answer the call.

1. Create groups (which user will receive the calls)

First, add the users to the group that will receive incoming calls.

In MiiTel, incoming calls are answered by groups. Therefore, the user who will answer the call must be included in the group. Even if there is only one user, he or she must be included in the group.

Please refer to Groups for instructions on how to create a group and add users to the group.

2. Set incoming call rules to call the group (how to receive incoming calls)

Next, create the incoming call rule so all users in the group will receive the calls.

  1. Log in to MiiTel Admin.
  2. Click Incoming > Incoming Call Rule
  3. Click Add new incoming call rule.
  4. After you have completed setting the incoming call rule as below, click Save.

1Rule name: Enter the title of the rule.

2Rule description: Enter the description of the rule.

3Action: Select Call all users in a group.

4Group name: Select the name of the group that will receive the incoming calls.

5Ring time (seconds): Set the number of seconds to call the selected group.

  1. Log in to MiiTel Admin with administrator privilege.
  2. Click Incoming > Incoming Call Rule
  3. Click Add new incoming call rule.

  1. In Rule name, enter the title of the rule. In Rule description, enter the description of the rule.
  2. In Action 1, set the action as Call all users in a group.
  3. Set the name of the first group to call in Group name.
  4. Set the number of seconds to call the group in Ring time (seconds).
  5. Click __________2021-08-13_14.16.08.png to display Action 2.
  6. In Action 2, set the action as Call all users in a group.
  7. Set the 2nd group to call in Group name. (If users of the group set in Action 1 do not respond after the ring time of Action 1 has passed, users of the group set in Action 2 will receive the call.)
  8. Set the number of seconds to call the group of Action 2 in Ring time (seconds).
  9. After you have completed setting the rule, click Save.
  1. Log in to MiiTel Admin with administrator privileges.
  2. First, upload the audio file in MiiTel. Please refer to Uploading an audio file to MiiTel for instructions.
  3. Click Incoming > Incoming Call Rule
  4. Click Add new incoming call rule.

  1. In Rule name, enter the title of the rule. In Rule description, enter the description of the rule.
  2. In Action 1, set the action as Call all users in a group.
  3. Set the name of the first group to call in Group name.
  4. Set the number of seconds to call the group in Ring time (seconds).
  5. Click __________2021-08-13_14.16.08.png to display Action 2.
  6. In Action 2, set the action as Play sound.
  7. Set the audio file in Filename. (If the group does not pick up the call after the ring time set in Action 1, the audio file set in this step will be played.)

  NOTE

  •   If you switch Action 1 and Action 2, users of the group will receive the call after the audio file is played.

3. Set incoming call filters (When and on which line to receive incoming calls)

Set the above incoming call rule as a filter to decide which MiiTel line will the rule will be applied and when the rule will be applied for incoming calls.

  1. Log in to MiiTel Admin with administrator privileges.
  2. Click Incoming > Incoming Call Filter
  3. Click Add new incoming call filter.
  4. After you have completed entering the following sections, click Save.

1Phone number: Set the phone number, which you want to apply the filter.

2Year: Enter the year, which you want to apply the filter (You can select multiple years. If not entered, the filter will apply for every year.)

3Month: Enter the month, which you want to apply the filter (You can select multiple months. If not entered, the filter will apply for every month.)

4Day: Enter the day of the month, which you want to apply the filter. (You can select multiple days. If not entered, the filter will be applied every day.)

5Day of week: Enter the day of the week, which you want to apply the filter. (You can select multiple days. If not entered, the filter will apply for every day of the week.)

If you want to set the filter that overlaps months or years (ex: December 31st - January 3rd), you will need to create two different filters for both month and year.

6Apply on holidays: If checked, incoming call rules will be applied to holidays. For the list of holidays that will be applied, please check List of holiday dates to which the incoming call rules will apply (2020, 2021, 2022).

7Starting time: Select from the list or directly enter the start time to which you want to apply the filter.

8Finishing time: Select from the list or directly enter the finishing time to which you want to apply the filter.

9Call settings: Select the phone number list you have created. MiiTel will apply the filter for incoming calls made from the phone numbers in this list.

10Incoming call rule: Set the incoming call rule you want MiiTel to apply the filter.
