Setting up incoming calls with IVR

You can set up an IVR (interactive voice response) that allows the caller to select the number by playing a voice message such as "For Japanese, press 1. For English, press 2." after you receive a phone call.

  IMPORTANT

  •   In order to use this feature, you would need to subscribe to a separate contract. For more details, please contact your sales representative or customer success.
  •  Only users who have administrative privileges can change these settings.
  •  Before you set up an IVR, prepare the audio file you will use for the voice guidance.

How to set up

Step 1: Upload the audio file

First, you will upload the audio file you will use for the voice guidance on MiiTel Analytics.

  1. Visit https://account.miitel.jp/v1/signin and log in to MiiTel Analytics.
  2. Click cog-solid (1).svg Open MiiTel Admin on the top right of the page.
  3. Click Incoming > Sound.
  4. Click Add new sound.
  5. Click Choose File and select the audio file you will upload.

  1. Click Save.

Step 2: Set up the IVR on the incoming call rule

Next, you will use the audio file you have uploaded to set up the incoming call rule with the IVR.
For this step, we will provide you instructions on how to set up incoming calls that will allow the caller to select a number by following the voice guidance and make a call to the selected group.

  1. Click Incoming > Incoming Call Rule.
  2. Click Add new incoming call rule.
  3. For Rule name, enter the name of the rule.
  4. For Rule description, enter the description of the rule.
  5. For Action 1, select Play sound and accept button input from user (IVR).
  6. For Sound, select the audio file you would like to play for the incoming call.
  7. For Number of times to play sound, select the number of times to play the audio file repeatedly.
  8. For Number of seconds between each sound, select the number of seconds to wait between each time playing the audio file.
  9. For User input, set the number you want the caller to select during the call.
  10. Set the action for each of the numbers you have set in User input. (For the example below, if the caller presses 1, the call will connect to the Sales team. If the caller presses 2, the call will connect to the Support team.

  • Number of times to play sound: You can set it from 1 to 5 times.
  • Number of seconds between each sound: You can set it from 5 to 20 seconds.

You can set another IVR for the action of the number selected in the first IVR. (After the caller selects 1 in the first IVR, the call will connect to another IVR.) However, if the caller does not press a number for the 1st IVR and the call lasts for a certain period of time, the call will not go to the IVR for the next action.

Step 3: Select when to apply the incoming call rule

Next, you will set the day, the day of the week, and the time to apply the incoming call rule. You can also select a specific day, such as the end of the year, the beginning of the year, or the summer vacation period.

  1. Visit https://account.miitel.jp/v1/signin and log in to MiiTel Analytics.
  2. Click cog-solid (1).svg Open MiiTel Admin on the top right of the page.
  3. Click Incoming > Incoming Call Filter.
  4. Click Add new incoming call filter.
  5. After you set the following fields, click Save.

1Phone number: Set the phone number you want MiiTel to apply the filter.

2Year: Set the year you want MiiTel to apply the filter (You can select multiple years. If not selected, the filter will apply for every year).

3Month: Set the month you want MiiTel to apply the filter (You can select multiple months. If not selected, the filter will apply for every month).

4Day: Set the day of the month you want MiiTel to apply the filter (You can select multiple days. If not selected, the filter will be applied every day).

5Day of week: Set the day of the week you want MiiTel to apply the filter (You can select multiple days. If not selected, the filter will apply for every day of the week).

If you want to overlap the months or years for the filter (e.g., December 31st - January 3rd), you will need to create two different filters for both month and year.

6Apply on holidays: If checked, the incoming call rules will be applied to holidays. To see the list of holidays, go to Incoming call > Holiday list.

7Starting time: Select or enter the starting time of the filter.

8Finishing time: Select or enter the finishing time of the filter.

9Incoming call rule: Set the incoming call rule you want MiiTel to apply the filter.

  • If you want to apply the incoming call rule on a specific date, make sure you set the Year, Month, and Day to that date.

  • To apply the incoming call rule at a specific time, set the Starting time and Finishing time. eng_filter_times.png

 

Step 4: Set the order of filters

The filters will apply from the top of the order. If the incoming call does not match the day of the week, time, or other conditions set in the first filter, the call will move to the next filter that matches its conditions.

 
  • If none of the filters apply to the incoming call, MiiTel Phone will not ring, and nobody will be able to pick up the call, so please check the filter settings carefully and make sure all filters are in the correct order.
  • We recommend you set filters that only have Apply on holidays checked with no days of the week selected, last in the order.
